What does flow actually do?

We integrate AI into your business. Your calls, chats, jobs, money and reports — all in one place. The AI replies to customers on WhatsApp, books appointments, qualifies new enquiries, sends reminders, chases papers and invoices, and writes weekly summaries. Your team only steps in on the tricky stuff.

What kinds of business does flow work for?

We've done it most for schools, clinics, HR firms, agencies, logistics teams, traders, travel agencies and manufacturers. The same setup works for almost any business — if your work moves through WhatsApp, email or a phone, flow fits.

How is this different from a chatbot we tried before?

Most chatbots send canned replies. flow is set up to know how YOUR business works — your prices, your hours, your tone, your rules. It reads documents, fills forms, books slots, and hands off to a person when needed. It also does the back-office bits (paperwork, follow-ups, reporting) — not just answer questions.

Does flow replace anyone on our team?

Flat monthly fee, no surprises.

How much does it cost?

A flat monthly fee, scaled by how big your business is. Small (businesses doing about $2M–$5M a year) starts at $500/month. Busy ($5M–$10M a year) starts at $1,200/month. Big ($10M+) — let's talk on the call. AED and INR pricing on the savings page.

Is there a setup fee?

No.

Per-message charges?

No. Send a thousand messages, send a hundred thousand — same flat fee.

Can we cancel?

Any time. No notice period, no termination fee. You own your data and can export everything before you leave.

Yearly discount?

Pay yearly on Busy or Big and you get two months free.

Tax?

Prices don't include VAT. We invoice properly so your accountant is happy.

What if our business is bigger or smaller than your three tiers?

We'll figure out the right shape on the 20-minute call. The three tiers cover most businesses; the edges get a custom number.

Set-up & going live

What happens in the first three weeks.

How long does it take to go live?

Two to three weeks for most businesses. The first week we sit with you and learn how you actually work — not how the org chart says. The second week we wire flow in. You sign off before we switch it on.

What do we need to give you to start?

Access to your WhatsApp number, a walk-through of how a normal day runs, and any rules we should follow (prices, hours, who to escalate to). We bring the rest.

Do we need a developer?

No. flow doesn't need code from your side. We set everything up.

Do we have to change our software?

No. flow sits on top of what you already use — paper diary, Excel, a hospital system, Tally, Notion, your CRM — and talks to all of them. We don't ask you to switch.

What does week one look like?

We walk your floor (in person if you're in the UAE, on a video call otherwise), watch how messages and orders move, and write down every workflow we're going to swap. You see the list. You decide what's in.

What about week two?

We wire flow in. Connect WhatsApp, your diary, your records, your invoicing. Test with your team. Catch the edge cases. You give the green light.

Does the AI sound like a robot?

No. We train it on your past replies, your tone, the words you use. It sounds like you on a calm day.

What if a customer wants to talk to a person?

They ask, and flow passes them straight to your team — same WhatsApp thread. No 'press 1 for…' loop.

Can we see what the AI is about to send?

Yes. Your team sees every outbound message. You can set rules — anything risky or unusual waits for a person.

What if the AI gets something wrong?

Does flow handle voice notes and pictures?

Yes. Voice notes are transcribed and understood. Pictures and PDFs are read.

Can it work with our existing phone number?

Yes. Most businesses use their existing WhatsApp Business number. We don't make you change it.

What if our software is custom?

Do we have to move our data anywhere?

No. Your data stays where it lives today. flow reads and writes to your existing system.

How do you train our team?

Data, privacy & languages

Who sees what, and in what language.

Is our data safe?

Yes. Customer details, prices, conversations — all stay in your account. Only your team sees them. We don't sell your data. We don't train AI on your data.

What languages does the AI speak?

English, Arabic, Hindi, Malayalam, Tagalog, Urdu — and more. It picks the language the customer writes in and replies the same way.

Can we export everything?

Yes, any time. Every chat, every record, every customer detail — yours. Download in one click.

Do you back up our data?

Yes — daily backups across all plans. We also keep an audit log on Busy and Big so you can see every action taken.

Where is the data stored?

On secure servers in the region closest to you. UAE businesses on UAE servers, India on India, etc. We share the exact location on the 20-minute call.
